Position: Office Administrator

Starts: October 8, 2019

Hours: (Mon-Fri) 8:30 am to 5 pm

Duration: Permanent, Full-time

Location: Woodbridge (Islington north of Highway 7)

Our client is seeking an Office Administrator to contribute to the overall success of the company’s operation.

What you will be doing!

  • Answer calls in a timely and professional manner with a pleasant attitude
  • Assist with BIDS as required
  • Track bids on respective bid sites daily (i.e. Merx, Biddingo, Bids & Tenders, etc)
  • Update the bid tracker and follow up on bid results to see who won and the results
  • Customer service
  • Picking and packing as required
  • Provides quotes and proposals as required
  • Escalate sales issues that could have a negative impact on revenue, costs or client retention to VP of Sales
  • Interact with other departments to assist the Inside Sales Team to meet their objectives, escalate issues, and/or to provide direction
  • Work with vendors in negotiating special bid pricing
  • Review open orders for margin expectation as well as month end requirements. Identify orders requiring attention to appropriate team
  • Ensure proactive communications with clients around changing ETAs, product constraints and product roadmaps.
  • Notify clients of back orders ASAP
  • Follow up with customers to ensure customer satisfaction as it relates to product deployment
  • Understand client and team requirements
  • Understand and work to meet forecasts on time
  • Promptly and professionally respond to all Internal associate requests (sales support)
  • Service dispatch and billing
  • Dispatch and follow up with technicians in a timely fashion
  • Source and order parts as required
  • Review service invoices received from technicians before providing to accounting for processing
  • Escalate service issues that could have a negative impact on revenue, costs or client retention
  • Returns
  • Other duties as required by the company

Knowledge and Skills:

  • Strong MS office skills
  • Superb organizational and time management skills
  • Excellent written and verbal communication skills
  • Attention to detail

Qualifications:

  • 3+ years experience as an office administrator
  • Degree or College Diploma or degree in Business Administration
