Job Title: Administrative Assistant
Type: Permanent, full time, salaried position
Location: Etobicoke, ON
Hours of Work: Mon to Fri; 8:30am-4:30pm
Starts: ASAP


Our client is seeking a dynamic and polished Administrative Assistant to directly support the Director of Design and Marketing. This position will handle a wide variety of functions including providing administrative support to the Marketing Manager and senior management staff as well as handling personal tasks and office administration.

Key Job Functions

-Handle administrative functions for the Director, Marketing, including organizing schedules; handling correspondence, e-mails and other forms of communication
-Manage company, executive and personal information and projects including research and coordinating travel arrangements for Design Director, Managers, etc.
-Prepare expense and other reports as directed
-Maintain Calendars and schedules for Design Director
-Provide administrative support for meetings, events, conferences, and the annual Holiday Party, etc. including catering details, logistical requirements and travel
-Work on the coordination of projects for the Design Director
-Handle personal tasks as directed by the Design Director
-Assist with other office duties in support of the team as required
-Ensure the office is maintained and that office equipment is in working order and serviced appropriately
-Maintain the general housekeeping of the Executive areas and act as a liaison with office cleaning provider
-Assist in the development of presentations and training material for Account Executives
-Provide back up on I.T. for users with minor troubleshooting as directed
-Order and maintain supplies
-Follow Marketing manger’s directives with Administrating website updates: adding , moving, or deleting data through the web Content Management System (CMS) to update pages or sections of the website
-Maintain existing web standards for the procurement of new content from vendors and suppliers
-Proof read, format and edit content


-Education: Post graduate Degree/Diploma from a recognized educational institution
-Strong computer skills, Microsoft; Office Suite; PowerPoint and a working knowledge of Photoshop
-Experience working within a Marketing environment in an administrative capacity is an asset
-3 to 5 years of 'recent and related' experience as an Administrative Assistant in a corporate environment.
-Strong organizational skills; able to work in a fast paced environment.
-Ability to work efficiently in both a team environment and independently.
-Demonstrates a strong work ethic, initiative and is results-driven.
-Excellent interpersonal skills; tactful and diplomatic. Ability to handle sound judgment and work resourcefully
-Confidential and able to demonstrate good judgement at all times.
-Excellent oral and written communication skills in the English language.
-A research-oriented skill set is an asset.
-Able to anticipate issues and appropriately address
-Able to handle personal and financial information with discretion
-Excellent attention to detail/accuracy and organizational skills with ability to follow-up, follow-through and meet deadlines
